An automated data flow from HubSpot to Orange that cuts manual work for the sales team and shortens the path from a closed deal to a paid invoice.
A microservice connector between HubSpot and Orange, paired with a monitoring panel, that automates the data flow between the CRM and the financial system. The connector listens for deal-stage changes in HubSpot, pulls data from each deal and its linked contacts, runs every record through completeness and business-rule checks, and forwards validated records to Orange. Every operation is logged and surfaced in the panel with timestamp, operation type, and status.
A B2B company selling professional services and SaaS subscriptions to enterprise customers across several European countries. With a high volume of deals and recurring payments, data accuracy, invoicing speed, and cash-flow visibility are critical. Any manual hand-off between the CRM and the financial system flows straight into revenue timing and the quality of management reporting. After several failed integration attempts, the team was looking for a partner who could actually deliver — at a realistic budget and with accountability for the business outcome.
HubSpot's built-in limits
The level of automation the business needed couldn't be reached through native HubSpot workflows, so the logic had to move into an external service.
Fragmented Orange documentation
The Orange API was only partially documented, which meant additional alignment and round-trip testing to make the integration reliable in production.
No shared CRM data-entry standards
Sales managers were filling in legal and financial fields inconsistently, so the first step was to define and lock in one common data standard across the team.
Need for transparent monitoring
Previous integrations behaved like a black box: the business couldn't see which operations had run, where errors were appearing, or what to do about them.
Low trust after previous vendors
Earlier integration projects had never reached a stable result, so the new team was expected to deliver clear milestones, a transparent process, and visible value at every step.
Pressure for fast results
The client needed working value quickly — without pausing the active sales process and without compromising data quality.
We built a microservice connector between HubSpot and Orange that picks up CRM events automatically, transforms them into a consistent structure, and pushes them into the financial system. On top of it sits an admin panel for operational monitoring, error handling, and data-quality analysis. All validation logic, notifications, and statistics collection live in a separate layer, so the business can run the process without diving into the technical detail.
Discovery and process mapping
We documented the target integration flow: which HubSpot deal stages should trigger the connector, which fields are mandatory for transfer into Orange, and which business rules must be satisfied before sending. That let us build the connector around real operating processes instead of an abstract integration scheme.
Connector architecture
We designed a Node.js microservice that consumes events from HubSpot, normalizes the payload into a unified internal format, persists integration state in PostgreSQL, and calls the Orange API with rate-limit handling, idempotency keys, and a queued retry strategy for transient failures.
Monitoring admin panel
We built a React panel that surfaces the operation timeline, transfer statuses, error categories, and search across problem cases. It became the single window into what is actually happening between the two systems — for sales and finance alike.
Validation and notifications
A dedicated validation layer checks critical fields — legal details, amounts, currencies, VAT codes — before anything reaches Orange. If a check fails or the integration returns an error, the connector records the event, blocks the bad payload from leaving, and emails the responsible manager with the specifics.
Analytics and AI suggestions
We set up statistics collection by error type and the deal stage where each error appears. On top of that signal, an AI-suggestion layer in the admin panel points to where the CRM process itself needs cleaning up — for example, which fields are frequently left blank or where managers need clearer input guidance.
QA and support
We built integration tests covering the core scenarios and the realistic edge cases, configured monitoring and alerts, and set the connector up as a living service. New cases get added, mapping rules get updated, and analytics keeps growing — all without pausing business operations.
We brought sales, finance, and the client's technical team to the same table and walked the deal lifecycle end to end — from the first lead in HubSpot to the matching payment in Orange — flagging where data was getting lost, where invoicing was slowing down, and where finance lacked visibility. The client framed the problem in terms of "manual routine" and "numbers that don't add up" rather than a formal spec, so we offered several integration-depth options at different budget points. After a few rounds, we settled on a scenario with tangible financial impact that wouldn't overwhelm the team with change.
After launch, the path from a closed HubSpot deal to an Orange record became predictable and managed, and the impact of human error on financial data dropped sharply. Invoices are produced faster, data is aligned across departments, and cash flow is now transparent enough to support management decisions in real time.
sales-side data transfer dropped by 70–80%
incorrect invoices and customer-side returns went down by roughly 60%
the time between a deal-stage change in HubSpot and the matching record in Orange shortened by 2–3 hours
HubSpot statuses and Orange records are synced and visible to both teams in one panel
error analytics and AI suggestions point to where CRM workflow changes can fix problems at the source, without rewriting integration code
